These general conditions apply to expressions of interest and preliminary participation activity. Confirmed or paid participation may also be governed by a participant-specific written confirmation or agreement, which will take priority where its terms differ.
1. Event status
UKIEE 2027 is planned for 27–29 April 2027 in London. The venue, opening hours, programme, speakers, exhibitors, access arrangements, capacity and delivery formats remain subject to confirmation and may change.
2. Expressions of interest and confirmation
An enquiry, invitation, application, expression of interest or preliminary discussion is non-binding. It does not create admission, reserve capacity, confirm a speaking or workshop position, guarantee a meeting, or oblige either party to enter an agreement. Participation exists only when the organiser issues written confirmation and any stated conditions, including payment, have been satisfied.
3. Eligibility and accurate information
Participants must provide accurate, current and complete information and must have authority to act for any organisation they represent. The organiser may request identity, organisation, eligibility, safeguarding, compliance or payment information before confirming access.
4. Fees, payment and taxes
Where a fee applies, the amount, VAT treatment, payment schedule, cancellation position and included services will be stated before confirmation. Late or incomplete payment may prevent confirmation or access. No fee is payable merely for submitting a non-binding expression of interest unless expressly stated.
5. Changes, postponement and cancellation
The organiser may make reasonable changes to dates, venue, layout, timetable, speakers, programme, access arrangements or delivery format for safety, legal, commercial or operational reasons. The complete terms issued for paid participation will specify the consequences of cancellation, postponement, relocation or material change, including any applicable refund or credit position.
6. Participant responsibilities
Participants must comply with applicable law, venue and security rules, health and safety instructions, reasonable organiser directions and professional standards of conduct. Harassment, discrimination, threatening behaviour, unlawful promotion, misleading claims, unauthorised selling, disruption, bribery and misuse of confidential information are prohibited.
7. Travel, immigration and insurance
Unless expressly agreed otherwise, participants are responsible for travel, accommodation, visas, immigration permissions, insurance, equipment and personal expenses. An invitation or confirmation letter does not guarantee a visa or entry to the United Kingdom.
8. Accessibility and adjustments
Participants should identify relevant access requirements as early as reasonably possible. The organiser will consider reasonable requests but cannot guarantee an adjustment until the venue, supplier capability and operational requirements have been assessed.
9. Programme and contributor status
Speaker, moderator, workshop, webinar or contributor positions remain subject to editorial approval, relevance, balance, availability and written confirmation. The organiser may amend session titles, formats, timing or contributor line-ups. Commercial participation does not automatically confer editorial control or a programme position.
10. Photography, recording and materials
Photography or recording arrangements will be notified where applicable. Participants must respect restrictions and obtain permission before recording private discussions or using another party’s name, image, trade mark, presentation or material. Any organiser use of a participant’s materials will be governed by the relevant submission terms or written agreement.
11. Personal information
Personal information is handled in accordance with the UKIEE Privacy Policy and any just-in-time notice provided at collection. Participant information is not automatically shared with exhibitors, sponsors or other attendees.
12. No guaranteed outcomes
The organiser does not guarantee visitor numbers, meetings, introductions, enquiries, publicity, investment, sales, contracts, speaking opportunities, commercial results or the attendance of any particular organisation or person.
13. Safety, refusal and removal
The organiser may refuse, suspend or withdraw participation where reasonably necessary for safety, legal compliance, non-payment, misconduct, misrepresentation, reputational risk, operational disruption or breach of applicable terms. The final agreement will state any refund consequences.
14. Liability and events beyond control
Participants remain responsible for their own property, systems, travel and business decisions. The complete terms will set out the applicable liability limitations, insurance requirements and force-majeure provisions. Nothing will exclude liability that cannot lawfully be excluded.
15. Complete terms
Paid or confirmed participation will be governed by the final written terms, booking confirmation or participation agreement supplied by the organiser. Participants should review those documents before signing or paying.
